SIGN UP PAGE

1. Access the Signup Page / Login page :

Step 1  - Open your web browser and navigate to the OKR platform's Sign up page. Through landing page or with help of support. 
Step 2  -  If you have account then login to the existing account. 
Step 3  - Fill all details for required input fields in correct manner then, select the check box “I am not a robot” option and select send OTP.
Step 4  - OTP will be generated to your email address then type them on the OTP entering place then the page will be navigated to create password page.
Step 5  - Then create password as per the Standards and confirm the Password submit them after creating the password the page will be navigated to the sign in page.
Step 6  - Here the user, can fill the login credentials and sign in to the AAPGS OKR Application.
Step 7  - After signing in the user asked to fill certain questions about the purpose of creating an account in OKR the details must be given by the user to use this application and then the page will be navigated to the Dashboard page.

TASK CREATION
Step-by-Step Guide: Managing Tasks Under Key Results (KRs) Using the Kanban Board

1. Understanding Tasks

Tasks are specific activities or actions that need to be completed to achieve a Key Result (KR). They help in organizing and tracking the detailed work required to meet the objectives.

Key Features of Tasks:

  • Description: Detailed information about the task.
  • Checklist: List of smaller items or steps within the task.
  • Due Date: The deadline for completing the task.
  • Subtasks: Smaller tasks within a main task.

Using the Kanban Board:

The Kanban board is a visual tool to manage tasks by moving them through different stages such as "To Do", "In Progress", and "Done".
Step-by-Step Guide to Managing Tasks:

1. Accessing the Kanban Board

  • Navigate to the Key Result:
    1. Log in to your account.
    2. Go to the main menu and select "Objectives".
    3. Select the Objective and then the specific KR you are working on.
  • Open the Kanban Board:
    1. Within the KR details, find and select the "Tasks" tab.
    2. Open the Kanban board view.

2. Creating a New Task

  • Add a Task:
    1. In the "To Do" column of the Kanban board, click the "Add Task" button.
    2. Enter the task title.
    3. Click "Save" to create the task.

3. Adding Details to the Task

  • Open Task Details:
    1. Click on the task you just created to open its details view.
  • Add a Description:
    1. In the task details view, find the "Description" field.
    2. Enter a detailed description of the task.
    3. Click "Save" to update the task.
  • Create a Checklist:
    1. In the task details view, find the "Checklist" section.
    2. Click "Add Item" to create individual checklist items.
    3. Enter the checklist item and click "Save".
    4. Repeat for additional checklist items.
  • Set a Due Date:
    1. In the task details view, find the "Due Date" field.
    2. Select the due date from the date picker.
    3. Click "Save" to update the task.

4. Creating Subtasks

  • Add Subtasks:
    1. In the task details view, find the "Subtasks" section.
    2. Click "Add Subtask" to create a subtask.
    3. Enter the subtask title.
    4. Click "Save" to create the subtask.
    5. Repeat for additional subtasks.

5. Managing Tasks on the Kanban Board

  • Move Tasks Between Columns:
    1. Drag and drop tasks between "To Do", "In Progress", and "Done" columns to update their status.
  • Update Task Progress:
    1. Regularly update the status of tasks by moving them to the appropriate column based on their progress.
  • Complete Tasks:
    1. Once a task is completed, move it to the "Done" column.

Main Sections of the Dashboard

Home

Overview of your current OKRs, progress, and recent updates.

Post Corner  - Here the user can communicate with other Users
KR progress  - Here the User can see the progress of KR of their owning objectives and public objectives KR
Task Status  - Task assigned to them and the task assigned to their team members status will be shown with their status and progress
Login Details - login of the other users will be shown if the user is the admin
Checkin remainders - KR check in remainders will be shown to the user to remind them to progress the KR


CREATION OF OBJECTIVE

Step 1 - Here the user can navigate to all okr page by selecting them from sidebar or by clicking view all objective button from Dashboard page.
Step 2 - After navigating the user should select the Create Objective button In AAPGS OKR the creation of objective is separated in two types:- 
  1. In detail
  2. Quick create 

In Detail

Here the user should create the Objective in detailed manner if the user know the all the data of OKR then the user can create the objective in detail manner Or if he has time to create in detail manner 

QUICK CREATE

Quick create there will be certain input fields only from that the user can create the OKR if he is in Emergency or in hurry in the meeting

Step 1 - After selecting the type of creation here user should fill them and submit  them to create their first objective.
Step 2 - Here the user can create key results to the As per their requirement and need then submit them.
Step 3 - After creating them and mapping the successfully an objective is created
Example:
Objective : Increase customer satisfaction.
Key Results:
1. Achieve a customer satisfaction score of 90% by Q4.  
2. Reduce customer support response time to under 2 hours by Q3.  
3. Implement a new customer feedback system by Q2.

TRACKING THE PROGRESS

After creation of the OKR here the user should follow them and update the status of the kr as per the check in frequency given by them or else the objective will not be effective and the progress won't be achieved.
KR CREATION
Here The user can create a key result along with the Objective if the KR is not created along them it can be created in Objective page there is a option they can select ADD KR and add the Key results they needed 
Adding Key Results (KRs) to an Objective
  • Option 1: Adding KRs During Objective Creation:
    1. After entering the Objective details, scroll to the "Key Results" section on the same form.
    2. Click "Add KR".
    3. Fill in the Key Result details such as title, description, target timeline, and the person responsible.
    4. Repeat for additional KRs as needed.
    5. Click "Save" to finalize the Objective with its KRs.
  • Option 2: Adding KRs to an Existing Objective:
    1. On the Objectives page, locate and select the Objective to which you want to add KRs.
    2. Click on the Objective to open its details.
    3. Click the "Add KR" button within the Objective details view.
    4. Enter the Key Result details including title, description, target timeline, and responsible person.
    5. Click "Save" to add the KR.
3. Setting Target Timeline and Assigning Responsibility
  • Setting a Target Timeline:
    1. While creating or editing a Key Result, find the "Target Timeline" field.
    2. Select the desired completion date from the date picker.
  • Assigning Responsibility:
    1. In the "Responsible Person" field, enter the name or select the user responsible for this Key Result from the dropdown list.
4. Tracking Progress of Key Results
  • Updating Progress:
    1. Navigate to the Objectives page and select the relevant Objective.
    2. Open the details of the Key Result you wish to update.
    3. Enter the current progress status in the provided field or progress bar.
    4. Click "Update" to save the progress.
5. Receiving Notifications on Check-In Dates
  • Automatic Email Notifications:
    1. Ensure your email address is correctly set up in your profile settings.
    2. Notifications will be sent automatically to your registered email on check-in dates for progress updates.
  • Managing Notification Settings:
    1. Navigate to your account settings.
    2. Find the notification settings section.
    3. Ensure that notifications for check-in dates are enabled.
    4. Adjust the frequency and type of notifications as per your preference.

Step-by-Step Guide: Creating and Managing Sub Key Results (Sub KRs)

1. Understanding Sub Key Results (Sub KRs)
A Sub Key Result (Sub KR) is a further breakdown of a Key Result (KR) into more granular, manageable, and measurable outcomes. Sub KRs help in decomposing complex Key Results into smaller parts, making it easier to track progress and achieve the overall KR.
Characteristics of Sub KRs:
  1. Specific: Clearly defined and narrowly focused.
  2. Measurable: Quantifiable to enable objective tracking.
  3. Achievable: Realistic and within reach given the resources and constraints.
  4. Relevant: Directly linked to the parent KR and contributing to its success.
  5. Time-Bound: Set within a specific timeframe.
Purpose of Sub KRs:
  • Granularity: Breaks down larger KRs into smaller, more manageable tasks.
  • Clarity: Provides detailed steps needed to achieve the parent KR.
  • Focus: Concentrates effort on specific, actionable items.
  • Accountability: Allows for delegation of smaller tasks to different team members.
  • Progress Tracking: Enables monitoring of progress on finer details, ensuring no aspect is overlooked.
Example:
  • Objective: Increase customer satisfaction.
  • Key Result: Achieve a customer satisfaction score of 90% or higher by the end of Q3.
  • Sub Key Results:
    1. Conduct monthly customer feedback surveys starting in July.
    2. Implement a new customer service training program by August 15.
    3. Resolve 95% of customer complaints within 24 hours by September 30.

Step-by-Step Guide to Creating Sub Key Results:

1. Creating a Key Result with Sub KRs
  • Navigate to the Objectives Page:
    1. Log in to your account.
    2. Go to the main menu and select "Objectives".
  • Create a New Key Result:
    1. Select the Objective to which you want to add a KR.
    2. Click "Add KR" within the Objective details view.
    3. Enter the Key Result details such as title, description, target timeline, and the person responsible.
    4. Click "Save" to create the KR.
2. Adding Sub KRs to a Key Result
  • Navigate to the Key Result:
    1. On the Objectives page, locate and select the Objective containing the KR.
    2. Select the KR to which you want to add Sub KRs.
  • Add Sub KRs:
    1. Click "Add Sub KR" within the KR details view.
    2. Enter the Sub Key Result details such as title, description, target timeline, and the person responsible.
    3. Click "Save" to add the Sub KR.
    4. Repeat the process for additional Sub KRs as needed.
3. Setting Target Timeline and Assigning Responsibility
